Choose what your agreement prints

Your rental agreement is a list of labelled rows - the renter's licence, the rates, the vehicle - and Settings holds a switch for almost every one of them, on the Contracts tab, grouped the way the agreement prints: your details, renter, rental terms, vehicle and the full-width rows. They exist because no two solicitors' forms want the same fields: one asks for a passport number, a licence class and an authorised driver, another wants the VIN off.

One switch, two jobs

A switch does two things at once. Off takes the question out of the New contract wizard and the row off every agreement printed from then on; on does the reverse. That is deliberate - a document should never ask for something it will not print, or print something nobody was asked. So if the wizard stopped asking for a bond or a kilometre allowance, this is where somebody switched it off.

Turn a field on or off

  1. Open Settings, then Contracts, and scroll to the Contract fields panels.
  2. Find the row. The panels run in the order the agreement prints, so you can hold a printed copy beside the screen.
  3. Flip the switch and Save. Only the owner can change these - what the contract prints is not a staff decision.
  4. Write the next contract as normal. The wizard asks only for what you kept.

You never need a switch to hide an empty row. A field left on prints nothing when there is nothing to say - an open-ended rental prints no end date rather than a blank one. The four kerbside readings are the one exception: a blank Kms Out, Kms In, Fuel Out or Fuel In prints a ruled line to write the reading on at the car.

Rows that behave differently

Three rows are marked Always on and have no switch: without who is renting, from when, and which vehicle, the document does not identify a rental. A few rows move in pairs, and the row says so - a kilometre allowance without its excess rate, or an address without its second line, is half a term, so one switch covers both. And some rows carry a note saying which agreements they apply to: a return time needs an agreed return date, a payment day only exists on an agreement billed on a cycle, and the per-day and per-week rows follow how the contract is priced. That is why a row can be on and still absent from one contract and present on the next.

The letterhead

The Contract PDF panel above the field switches is the same choice at the top of the page: whether the agreement carries your logo, ABN and business address, and whether it prints the damage-excess line, with a default excess for contracts that do not set their own.

See it before anyone signs

For an unsigned contract, the download button on its card in the contracts list downloads the agreement exactly as your current switches print it - and hands you the signed PDF once there is one. A preview is marked as a preview because it is not evidence: nothing is signed yet.

None of this touches a contract that is already signed. A signed agreement is frozen at the moment of signing and served back exactly as the renter saw it, whatever you change here afterwards - the switches only shape the contracts you write next.

Tip: A money field you switch off is money the contract cannot claim: no bond question means no bond on file, and no kilometre allowance means no excess-kilometre charge at return.
