Your rental terms

Your terms are the long part of a rental agreement. Fleetola holds one copy, publishes it at a public link, and every agreement either points at that link or reprints the whole thing after the signature.

Paste them in

  1. Open Settings → Contracts → Rental Terms & Conditions.
  2. Paste your terms, or start from the standard template and edit it.
  3. Save. The public terms link under the box is the page a signed agreement points renters at.
  4. Decide what a signed copy carries: leave Terms in full off for the link, or turn it on to reprint every word after the signature.

Tip: Off is the shorter document. A three-page agreement is usually two pages of terms.

What a renter signed cannot move

When somebody signs, Fleetola freezes a copy of your terms exactly as they stood at that moment, records that copy's SHA-256 alongside the signing evidence, and prints the hash on the audit trail. Editing your terms afterwards changes what the next renter signs and can never change what a signed contract says - and that holds whether the terms were printed on the agreement or linked from it.

Before you go live

A rental agreement is a standard-form consumer contract. Keep every term fair and transparent, and have a lawyer read it once: since November 2023, relying on an unfair term can carry penalties. Nothing in Fleetola is legal advice.

If you track your vehicles, your terms have to say so. In NSW the Surveillance Devices Act 2007 restricts using a tracking device to work out where a person is without their express or implied consent, and the other states have equivalents. The obligation is yours - you are the one tracking the driver - and Settings offers you a plain-English clause to place and have reviewed.

An agreement that names terms nobody can reach is worse than a long one, so while your terms box is empty or there is no public link yet, your clauses print in full whatever the switch says.
