Set up the renter app & portal

Every renter gets a branded portal - on the web, and built into the Fleetola phone app - where they see their contract, their payments and their condition photos, and message you.

Customise it

  1. Open Settings → Renter-facing.
  2. Renter portal shows the address your renters use, and opens a preview of it.
  3. Start of rental is the short numbered list a renter sees for their first week - one step per line, or leave it empty for Fleetola's own.
  4. Support & contact sets the support hours shown in the renter's chat info and Documents tab.
  5. Under What renters can see, hide any section that does not apply to your business.
  6. Your name, phone, email, logo and accent colour come from Settings → Business, and the portal carries them.

Tip: Preview renter portal opens the real portal with sample data, so you can see exactly what a customer sees before one does.

Where to find it: Settings → Renter-facing

The portal follows the rental: an open-ended rental shows the rent and the payment history, a hire shows the trip and when the car is due back. Dates, rates and the bond come from each contract, never from these settings.

What renters can do

Renters keep their own details current. The Documents tab of the portal holds their licence and secondary-ID numbers and expiry dates, editable beside the photos they describe, and the portal's Settings holds their name, email and phone. Every change posts an automatic [Account update] message into your inbox saying exactly what changed - see Messages with your renters.

The same tab is their document shelf. A signed rental agreement can be viewed and downloaded there, along with any extra forms signed with it. Renters can replace their licence and ID photos - the previous scan stays on their record under Documents, dated - and upload anything you ask for: a payslip, proof of address, a utility bill. They cannot delete a scan.

Two buttons are worth knowing about. Report an issue sits on every renter's home screen and never goes away, whatever you hide - Messages with your renters covers where a report lands. And Extend trip, shown on a hire, extends nothing by itself: it shows the current return date and asks the renter to contact you, so the dates only change when you change them.

The bell in the portal covers their own rental: a payment due or overdue, a licence expired or expiring, their car's rego or service falling due, an agreement waiting to be signed, and new messages from you. Hide a section and its alerts go with it, so a renter is never sent to a tab you took away.

Your logo and colour

The logo comes from Settings → Business: an image up to 2 MB and 2000 px - a larger or higher-resolution file is refused. A wide logo on a transparent background works best, because it renders at one fixed height everywhere it appears: the portal, invoices, contract PDFs and the header of every renter email. The emails carry this same logo - there is no separate one to upload.

The accent colour previews the moment you click a swatch, but it is only applied when you Save - leave the page without saving and the colour reverts. It colours the buttons and highlights across the renter's pages.
