Invite your team

Everybody who works on your fleet gets their own login. You decide which sections each person can see and which of them they can change.

Invite somebody

  1. Open Settings → Business.
  2. Under Invite a member, enter their email address.
  3. Start from a preset - Manager edits everything, Viewer views everything, None hides everything - then tick section by section from there.
  4. Send it. They get an email with a join link and set their own password.
  5. Members lists everyone and what they can reach. Manage changes it, and removing somebody takes their access immediately.

Tip: Billing, Team and Data stay owner-only, whatever else a member is given - and so do a handful of settings, listed below.

A member sees only what you gave them: the nav, the settings that configure those sections and the data behind them all follow the same answer, so there is no half-open door.

If outgoing email is not going out from your deployment, the invite shows you the join link instead of failing quietly. Send it yourself - it expires with the invite, 7 days after it was sent.

If an invite will not go through

A join link is single use and lasts 7 days from when it was sent. Resend on the pending row mints a fresh link and the old one stops working, so always pass on the newest - and it works once a minute, so a quick second press is refused with give it a minute before resending.

An invite is also refused when the address already has an operator login on Fleetola, even with another organisation - That email already has a Fleetola login. One login cannot work for two organisations, so ask them for an address they have not used on Fleetola before.

Settings that stay the owner's

Beyond Billing, Team and Data, a few settings refuse a member whatever their permissions say: currency and tax, how card fees are charged, who controls autopay, modules, what the contract prints and what your contracts record. Each answers with a message starting Only the owner - the switch is not broken, it is reserved. The module and contract switches have their own articles: Why a page is missing and Choose what your agreement prints.
