Changing a signed agreement

A signed agreement is not frozen. Swap the car, change the rate or the bond, move the payment day or the end date, and Fleetola records exactly what the agreement said and what it now says, prints that as a Schedule of amendments on the next version of the same document, and asks the renter to sign the update. The contract stays live the whole time - payments keep running, the car stays on hire.

What counts as an update

Anything the agreement prints: the rate, the bond, the damage excess, cover, the minimum rental, the dates and times, the pick-up and drop-off places, the payment day and frequency, and the car. Notes, tags, odometer readings and condition photos are not terms, so they change without one. The change applies the moment you save it - unpaid cycles reprice, the swap takes effect - and the signature confirms it.

  1. Open the contract and press Edit (or Swap vehicle), make the change and save.
  2. Fleetola asks you to confirm that this changes the signed agreement and lists the exact terms that move. Add a reason if you like - it prints on the update.
  3. The contract now shows Update awaiting signature, and its Amendments panel lists the lines.
  4. Press Send link to email the renter, or Sign in person on your device. A renter who is signed in to their portal can also press Review and sign there.
  5. The renter reads what is changing, then the whole agreement with its schedule, and signs. That writes the next version of the agreement - v2, v3 - and the earlier copies stay on file.

Several changes before the renter signs

They merge into one update, so the renter signs once. A term you change back drops out of the update; change everything back and the update withdraws itself. If you had already sent the link, send it again - the renter always signs the current state.

Withdrawing an update

Withdraw on a pending update puts the money terms back to what was signed and cancels the renter's link. A swapped car, a moved payment day or a moved date cannot be put back by that button - swap the car back or change the day or date back from Edit, and the update withdraws itself. Once an update is signed there is nothing to withdraw; make a new change instead.

Tip: Every version is downloadable from the Amendments panel and the Documents tab, and the renter sees the same list in their portal. Void signature is a different thing: it is for a document that was wrong when it was signed, and it takes the whole agreement back to draft.
