The Availability calendar

The Availability page is your hire fleet on a timeline: one row per car, one column per day, from a week back to as far ahead as you zoom. It answers the two questions a booking starts with - who has each car, and when it comes free - and every hire booking can start right on it.

What the colours mean

A green cell is a day the car is free. A light-blue Booking bar is a hire that has not started yet. A solid blue Hired bar is a car out right now - and on a car you offer for both hire and subscription, an ongoing weekly rental draws the same way, labelled with the renter's name and subscription. An amber Service bar is a hold for work on those dates.

A car whose status is Damaged draws At repairer across the whole timeline. It stays on the calendar so you can see it is off the road, rather than wonder where it went.

Start a booking

  1. Click any green cell. The contract wizard opens with that car and that pick-up day already filled in.
  2. Work through the usual steps - customer, dates, rate, extras - and finish on Sign. A booking is a contract, so it is the same wizard Contracts uses.
  3. Or click New booking at the top to start blank.

Only today and later are clickable. The past week is drawn for context, but a hire cannot be backdated - clicking a day behind today does nothing.

Bars are clickable too: a signed booking's bar opens its contract drawer, and a draft bar resumes the wizard so you can finish it and send it for signing. Service and repair blocks open nothing.

Tip: A draft bar holds the car exactly like a signed one. Answer requests promptly or delete them - see Handle a booking request.

The zoom buttons above the timeline switch between 2 weeks, 1 month and 3 months, and the view recentres on today each time. Zoom out to place a longer hire; zoom in when the columns get too tight to click.

A car is missing

Cars offered for subscription only are not on the calendar - an ongoing rental has no return date, so it has no place on a pay-once timeline. Archived and sold cars are off it too, along with any marked inactive. Everything else you own is there, hired or not.

Take a car off the road

There is no screen for blocking out a date range yet. The lever is the car's status: open it under Vehicles and click Mark damaged. The calendar draws At repairer across every day, the green disappears, and the car comes off your public booking page at the same moment. Mark it Available again when it is back.

Under the calendar

Contracts with dates lists every fixed-term contract - anything with a return date, whatever it is priced per. Open-ended rentals have no return date to plot, so they live on the Contracts page instead.

Export downloads the picture as a CSV: one row per car with its status, whether it is free right now, who has it and since when, and its rates.
