Swap the vehicle mid-rental
A car goes in for service, comes back damaged, or the renter just needs something bigger - and the rental keeps going. Swap moves the renter into a different car on the same contract. No new agreement, no re-signing, nothing to set up again.
Swap the car
- Open the contract from Contracts and click Swap beside the vehicle. Swapping is offered while the rental is active - an ended contract's history is settled.
- Pick the new car. Only vehicles currently showing Available are offered.
- Say what happens to the old car: Needs service / cleaning marks it In service, Damaged flags it for repair, and Ready to go puts it straight back to Available for booking.
- Pick the reason for the swap, and add a note if there is more worth keeping - which workshop, what was agreed.
- Confirm. The contract carries on in the new car from that moment.
Where to find it: Contracts → open the contract → Swap
Everything carries over
The contract continues - same rate, same bond, same payment history and schedule. A swap moves the renter, not the money: nothing is re-priced, nothing new falls due, and nothing is refunded.
Tip: A swap never changes what the renter pays. If the replacement car should cost more or less, edit the rate as well - see Fixing a signed contract.
Nothing to re-sign
The renter does not sign again, and the signed agreement stays exactly as it was signed. The swap is recorded on the contract instead: the Overview shows Swapped from with the car the rental started in, and the contracts list tags the row Swapped.
The reason and notes are stored on the swap record. Open the new car's Activity later and it is all there - swapped in on a contract, for which renter, why, and your note. The old car's Activity shows the day it came off. A swap you cannot remember in six months is still explained.
Why a car is not offered
The picker lists cars whose status is Available right now, nothing else. A car on another rental, in service, damaged, sold or archived is left out, and the picker tells you when nothing qualifies. To offer a car you know is ready, open Vehicles and set its status to Available first.
Swapping back works the same way: when the original car is repaired, mark it Available and swap again. A contract can be swapped as many times as the rental needs.
