Your customer records

Every renter is a customer record under Customers: their contact details, licence, ID, address, their hires and the money they owe. A contract always points at one, so most customers are created for you - by the New contract wizard, a signing link, or a booking from your website.

Add one yourself

  1. Open Customers and click New customer.
  2. Choose Person or Company.
  3. For a person: a name and an email or a phone number, then the licence - type, number, expiry and a clear photo of the front - then a secondary ID. An overseas licence makes a passport compulsory.
  4. Check the summary on Review and save.

Companies, and the contact person

A company customer is a business that hires from you - a body shop, a fleet, a rideshare company. It has a company name and a contact person: the person who signs agreements for and on behalf of the company, and whose portal sign-in sees the company's hires. A company holds no licence of its own. Each hire also names a driver, who must be a person customer with a licence - so add the driver as a person first, then pick both on the contract.

The customer drawer

Click a customer to open their drawer. Overview holds the contact details, the licence and its expiry, the address, their Renter portal login - with Reset password and Remove - and the Automated emails switch, which leaves this one person out of reminders, receipts and licence notices. Rental is the hire they are on now, Documents holds their licence and ID scans, and Activity is everything that has happened to the record.

Reliability at the top is a grade for how well this customer pays, worked out from their payment history.

Licences and ID

A licence that is close to expiring shows on your dashboard under Licences before it lapses. When the customer sends a new scan, upload it from Documents: the old scan is not deleted, it moves down the list marked with the day it was replaced, so you can always show what was on file on any date. Verify beside a scan records that you checked it against the original card.

Tip: An address is four boxes, not one line - see Customer addresses. How customers get their portal login is its own guide: see Renter logins and password resets.
